Agent Terms and Conditions

By making a booking with West Coast Wilderness Railway (WCWR), you acknowledge and agree that these Terms and Conditions apply to all journeys made available by WCWR. These conditions may be updated from time to time, and continued bookings constitute acceptance of any amended terms.

General Bookings
  • By making a booking for a journey, you warrant that you have provided WCWR’s Terms and Conditions to a representative of the booked party.
  • All bookings must include the booked party’s name, contact phone number and email address (Contact Details).
  • If the Contact Details supplied are not those of the traveller, you indemnify WCWR from any refunds or additional costs arising from missed departures or other issues affected by pre-arrival communications not reaching the guest.
  • All bookings must be paid in full at the time of reservation unless a credit facility exists. Payment may be made by bank transfer or via secure payment gateway.
  • By providing credit card details, you warrant that you have the authority to use the credit card and authorise WCWR to charge the card accordingly.
  • Gross rates are non-negotiable. Updated rate cards include both gross and nett rates. Unless otherwise agreed, all publicly displayed rates must reflect the current gross rate.
  • If WCWR cancels a booked journey, all monies paid will be refunded in full within 14 days. WCWR’s liability arising from any cancellation is limited to the amount paid for the booking.
  • WCWR reserves the right to decline requests or bookings where necessary due to insufficient or excessive numbers or other operational constraints.
Cancellations
  • Cancellations made 72 hours or more prior to scheduled departure incur no cancellation fee.
  • Cancellations made less than 72 hours prior to scheduled departure incur a cancellation fee equal to the full ticket price, unless aligned with WCWR’s Conditions of Carriage.
  • No refund is provided for no-shows or unused services.
  • Cancellations must be made by emailing qt2@wcwr.com.au. Emails received after 4pm will be considered received the next business day.
Deposits
  • If the deposit amount exceeds the cancellation fee, the balance will be refunded.
  • If the deposit amount is less than the cancellation fee, it will be applied toward the fee and the remaining balance will be invoiced.
Children
  • Children aged 17 years and under are entitled to child fares when accompanied by a paying adult.
  • Infants under 2 years travel free (maximum one infant per paying adult) and are not guaranteed a seat.
  • WCWR reserves the right to request proof of age. If proof cannot be provided, the full adult fare may be charged or carriage may be refused.
Marketing
  • You agree not to bid on the West Coast Wilderness Railway registered brand name within the Australian domestic digital marketplace.
  • You consent to receiving product updates from WCWR from time to time.
Group Bookings

A group booking is defined as any booking with more than 10 paid passengers.

  • Contracted rates apply to all group bookings.
  • One tour leader or accompanying staff member may travel free of charge for bookings with at least 10 adult full-fare passengers (maximum one FOC per booking).
  • Group bookings may be held without final names up to 21 days prior to journey departure.
  • At 21 days prior, passenger lists must be provided. Remaining unnamed seats will be released for public sale.
  • Cancellation fees apply as follows:
    • Within 14 days prior to departure: 50 percent fee
    • Within 7 days prior to departure: 100 percent fee
Rates and Commission

Rate cards include both gross and nett rates. Commission applies only to products designated as commissionable in the current rate card.
